Use measured stage and scenic dimensions when the fit is constrained. Otherwise show a clear relative layout and confirm the final furniture during the advance. Choose and label microphones

One microphone per person

Shared microphones

Shared table or boundary microphones can reduce channel and hardware count, but they also reduce independent control and may collect more room sound. They require deliberate seating geometry and participant distance. A handheld passed between panelists usually creates handling, timing, and level inconsistency; use it only as an intentional format with a clear operator.

Open-microphone management

Several open microphones can increase room pickup and reduce gain before feedback. Assign an engineer to manage channels or use a suitable automixing workflow when the system and operator support it. Automixing helps manage active microphones; it does not replace correct microphone placement, loudspeaker design, or a human who understands the program.

Keep loudspeakers and stage monitors out of the microphones' most problematic pickup paths where the system design allows. Final placement and tuning belong to the qualified venue or production audio team.

Choose one method before doors:

  1. Aisle microphone: audience members walk to a fixed, labeled microphone position.

  3. Written or digital questions: a moderator reads selected questions into their own microphone.

For microphone runners, show their starting positions and audience routes. Assign a stable ID to each handheld, include it in RF coordination, and state who cues the runner and who mutes the channel. The moderator should ask the audience member to wait for the microphone before speaking.

Do not plan to reinforce distant audience speech with a camera-mounted or shotgun microphone as the default Q&A solution. A close microphone or an intentionally managed alternative gives more predictable intelligibility in a live room.

Remote contributors

Document:

  • platform and host device;
  • wired network requirement and provider;
  • local send and remote-return interfaces;
  • mix-minus ownership;
  • screen and confidence-monitor destinations;
  • remote participant cue and backstage communication;
