Define what load-in must achieve
Concert load-in is the controlled movement and setup of touring, rental, and venue equipment from arrival through a stage that is ready for technical verification. It includes more than carrying cases: access, labor, case storage, placement, power, system boundaries, patching, communication, safety, and schedule ownership all meet during this phase.

The production manager, tour manager, stage manager, or venue technical lead should name one load-in lead. That person does not need to carry every case or solve every department's problem. They maintain the sequence, identify blocked dependencies, and make sure changes reach the right owners.
Load-in completion criteria
Before work starts, agree on the handoff point. A useful definition is:
- touring and local equipment is accounted for;
- the stage layout matches the approved plan or documented changes;
- access routes and working areas are clear;
- risers, backline, audio, power, monitors, playback, lighting, and video items required before soundcheck are installed;
- input and output patches are ready for verification;
- unsafe, missing, or substituted items are isolated and assigned;
- empty cases and packing materials are stored without blocking egress or later work;
- the technical leads agree that line check can begin.
Confirm arrival and access
Reconfirm day-of conditions before the vehicle reaches the dock or entrance. A perfect equipment list cannot recover time lost at the wrong gate.
Arrival checklist
- Venue address, vehicle entrance, dock or curb location, and arrival contact are current.
- Vehicle height, length, parking, trailer, permit, and local access limits are confirmed.
- Access time and noise or neighborhood restrictions are understood.
- Keys, badges, security, lift access, dock plates, ramps, and freight elevators are available.
- Local crew call, department leads, and required operators are present or reachable.
- Weather protection and a safe route exist for outdoor transfers.
- The path from vehicle to stage is measured for the largest case or item.
- Stairs, slopes, floor loading, tight turns, public routes, and temporary obstacles are known.
- A holding area exists if the stage is not yet released.
- Emergency routes and fire exits will remain clear.
Record the actual arrival and first-case-on-stage times. If access is late or labor is missing, revise the order and escalate the schedule effect immediately. Do not hide delay until the soundcheck window disappears.
Establish communication
Identify the tour lead, venue lead, stage lead, and each department head. Agree on the primary day-of communication method and where decisions are recorded. Radios or intercom may be necessary for a large site; a compact show may only need named contacts and a clear meeting point.
Keep communication concise:
Issue: Stage-right riser is 0.5 m narrower than advanced.
Effect: Keyboard station does not fit the approved position.
Owner: Venue stage lead + tour production manager.
Decision needed: Before keyboard cases are opened.

Unload and stage equipment
Unload in the order equipment will be needed, as far as vehicle packing allows. Large infrastructure and items that other work depends on should be accessible before decorative, spare, or late-use cases.
Use zones, not a case pile
Create clearly understood working zones:

Mark ownership where similar black cases can be confused. Count high-value, rented, or show-critical packages at receipt, and report visible damage before the item disappears into the setup.
Handle equipment safely
Use the correct people and equipment for heavy or awkward items. Follow venue rules and qualified-person requirements for rigging, electrical distribution, lifts, and other regulated work. Keep rolling routes lit and controlled. Do not leave unsecured cases on slopes, balance equipment in doorways, or run cables through active traffic without approved protection.

Build the stage in dependency order
Departments often work in parallel, but physical dependencies still matter. Agree on the sequence before opening every case.
1. Release the space
Confirm that venue changeover, cleaning, rigging, staging, and house-system work have released the required areas. Verify the measured usable stage, overhead limits, audience barriers, FOH position, wing access, and cross-stage paths.
Place or mark fixed items first:
- stage edges and no-go areas;
- risers, stairs, rails, and ramps;
- house drape, scenic, or fixed backline;
- stage boxes, power distribution points, and major cable paths;
- monitor, lighting, and video infrastructure that must sit under or behind backline.
2. Place risers and backline
Use the current stage plot, orienting stage left and stage right from the performer's perspective. Check riser dimensions, load rating, locking, rails, stairs, and performer access before placing equipment on them.
Build backline from the backline rider. Separate artist-carried, rental, and venue-supplied items. Verify small dependencies—stands, pedals, benches, hardware, power supplies, speaker cables, and instrument accessories—rather than marking a large item complete while it remains unusable.
3. Establish power
Only responsible, qualified personnel should install or alter distribution. Match equipment to the approved supply and stage power plan. Confirm voltage, frequency where relevant, connectors, distribution ownership, circuit assignments, cable routes, and protection from traffic or weather.
Place drops beside the equipment they serve. Do not improvise daisy chains or adapters to rescue a planning error without review. Keep power and signal routes organized according to the responsible crew's practice and the venue's requirements.
4. Place audio I/O and monitors
Position stage boxes, subsnakes, microphone stands, DIs, microphones, wedges, IEM systems, playback, and splits according to the plot and patch plan. Use stable source names and numbered channels.
For each stage area, check:
- the physical input socket matches the patch list;
- cable length is sufficient without unsafe tension or unmanaged coils;
- performers and crew can move without crossing fragile connections;
- wedges point toward the intended performer and do not obstruct access;
- stereo sources, playback, click, cues, and talkback have the expected paths;
- spare or alternate equipment is labeled and available where planned.

5. Complete other show-critical departments
Lighting, video, communications, recording, broadcast, and special systems should follow their advanced scopes and named ownership. Confirm only the handoffs needed by the show, such as playback video format, audio feeds, time or cue references, control locations, communications channels, or safe cable routes.
Avoid inventing an unapproved feed during load-in. A new request needs an owner, technical path, permission, and schedule decision.
Reconcile the Rider with reality
Walk the installed stage with the stage plot and input list visible. Compare stable identifiers, not memory.

Do not silently make the physical stage disagree with the Rider. Manage exceptions visibly
Every unresolved exception should state:
- what was expected;
- what is physically available;
- the operational or schedule effect;
- the temporary safe state;
- the person deciding or fixing it;
- the deadline before it blocks the next phase.
Do not let a faulty cable, missing stand, wrong backline item, blocked exit, or unconfirmed output blend into the completed setup. Isolate it, label it, and assign it.
Hand off to line check and soundcheck
Hold a short stage-ready handoff before passing audio. The load-in lead and relevant department heads should confirm:
- all required cases arrived and empty cases are stored;
- the stage is safe and performer access is clear;
- stage plot positions and critical dimensions are verified;
- backline is assembled and powered as approved;
- input patch, outputs, monitor destinations, and talkback are ready;
- show-critical playback and other handoff equipment is connected;
- system and console ownership is clear;
- documented exceptions have owners and will not be mistaken for completed work;
- line-check and soundcheck leaders know the available time;
- only authorized people will change the setup after verification.
