Confirm the orchestra and program
An orchestra stage plot is a scaled or dimensioned plan showing where players, sections, conductor, soloists, furniture, large instruments, microphones, monitors, and production equipment belong. It turns the personnel list and repertoire into a physical setup the venue can prepare and the stage crew can reproduce.
Do not start from a generic symphony diagram. Confirm:
- player count by instrument and any doubling;
- conductor, soloist, choir, narrator, or rhythm-section positions;
- repertoire-driven instruments and changes between works;
- the conductor’s preferred section arrangement;
- chairs, stools, benches, music stands, stand lights, and accessories;
- percussion, keyboard, harp, celesta, piano, organ, or other large equipment;
- amplification, recording, playback, click, or video needs;
- rehearsal, concert, and changeover layouts;
- venue dimensions, entrances, storage, accessibility, and safety restrictions.
The conductor or artistic lead approves musical placement. The production and venue leads confirm whether that arrangement fits the usable stage and operational constraints.

Use ranges only after the final counts are known. Stable identifiers let the plot, furniture count, input list, and change notes refer to the same positions.
Build the seating plot
Draw from fixed reference points
Show the downstage edge, centerline, stage left and right, upstage boundary, entrances, exits, and usable dimensions. Then place:
- conductor’s podium and stand;
- soloist or featured positions;
- string sections and their stand-sharing pattern;
- woodwinds, brass, and their required spacing;
- percussion and large instruments;
- choir, rhythm section, keyboard, playback, or other added forces;
- risers, railings, ramps, stairs, and access lanes;
- microphones, monitors, cable paths, and power only where used.
Keep performer-facing orientation consistent with Stage Left vs Stage Right. Mark dimensions that determine fit: overall width and depth, row depth, riser size and height, conductor clearance, piano or harp footprint, percussion zones, and critical aisles. Let the venue or qualified responsible party approve safe access, loading, risers, railings, and structural limits.
Count furniture and accessories
A seating shape is not a furniture order. Provide a separate schedule:

List cello chairs, bass stools, keyboard benches, soloist chairs, instrument stands, mute stands, and page-turning space when required. Do not assume all chairs, stands, or lights are interchangeable.
Plan changes between works
If the program changes instrumentation or seating, create a change schedule that states:
- items added, removed, or moved;
- player or section affected;
- target position ID;
- responsible crew;
- available change time;
- storage destination for cleared equipment;
- microphone, cable, monitor, or lighting changes;
- person who verifies the next setup.
For substantial changes, issue separate labeled plots rather than drawing several layouts on one crowded page.
Add audio and input requirements
Choose the reinforcement approach first
An orchestra may be unamplified, lightly reinforced, fully reinforced, recorded, streamed, or combined with amplified artists. Those are different signal plans. The conductor, audio lead, recording team, and venue should agree the goal before microphones are placed.
Possible approaches include section or area microphones, spot microphones, attached instrument microphones for selected sources, soloist microphones, ambient pairs, and direct inputs from electronic instruments or playback. Use as few microphones as the accepted outcome permits, and position them with attention to source coverage, neighboring sections, loudspeakers, sightlines, stands, bows, pages, and player movement.
Do not copy fixed microphone counts or distances from another orchestra. Ensemble size, room acoustics, stage volume, PA location, recording brief, and repertoire change the solution.

Replace examples with the actual patch. Keep channel names identical across the plot, input list, split or recording plan, console files, and labels. Monitors, talkback, and playback
Many acoustic orchestra setups do not need stage monitors. Add them only for a defined requirement such as an amplified soloist, rhythm section, remote instrument group, playback, click, conductor feed, or hybrid production. Identify each listener, source priority, output, device, and provider.
Keep monitor speakers and microphone pickup patterns in the same plan. If click or talkback must remain private, document its routing and failure behavior explicitly. Do not send click to audience outputs or assume a conductor camera, cue screen, or talkback path exists without advancing it.
Advance stage infrastructure
Risers, large instruments, and movement
Record riser dimensions, heights, orientation, stairs, railings, load responsibility, and provider. Show the complete operating footprint of timpani, keyboards, piano, harp, percussion racks, bass stools, and instrument changes—not only their center points.
Map instrument travel from loading access to the final position. Confirm door, lift, corridor, turn, and stage-opening dimensions for large equipment. Venue and qualified personnel retain authority for safe lifting, rigging, structural capacity, and access routes.
Lighting and power
The plot should identify conductor, soloist, section, music-reading, entrance, and changeover visibility needs. Coordinate them with Lighting Tech Rider Requirements. Stand lights, keyboards, playback, amplifiers, recording equipment, and powered accessories must also appear in the Stage Power Requirements, with provider and cable management assigned.
Avoid power or audio cables through chair legs, bowing space, aisles, or instrument routes. Confirm cable protection and egress with the venue before setup.
Schedule and responsibilities
Put stage marking, riser installation, furniture placement, percussion and large-instrument moves, audio patching, lighting focus, rehearsal, changes, and restore into the Concert Production Schedule. Assign an approval owner for the final setup and a contact for each provider.

Stage verification
Before rehearsal, compare the setup with the current plot. Count furniture, check section IDs and sightlines, verify bow and instrument clearance, inspect conductor and soloist positions, confirm large-instrument access, and test every used audio, monitor, playback, light, and power path.
Walk entrances and changes with the people performing them. Record approved moves on the current revision instead of relying on tape marks or verbal memory for the next call.

Using a generic seating chart. It does not reflect the confirmed roster, conductor preference, repertoire, room, or production systems.
Drawing players but not furniture. Chairs, stands, lights, stools, podiums, tables, and accessories need counts and providers.
Ignoring large-instrument travel. A piano or percussion setup must reach the stage and its final position safely.
Adding microphones without an outcome. Reinforcement, recording, streaming, and archive feeds require different decisions and boundaries.
