Count the actual ensemble

“Big band” does not define one fixed stage setup. Start with the roster for this performance and record every playing position:

  • saxophones and woodwind doubles;
  • trombones, including bass trombone where used;
  • trumpets or flugelhorns;
  • piano or keyboards;
  • guitar;
  • upright or electric bass;
  • drum kit;
  • percussion;
  • conductor or bandleader;
  • featured or ensemble vocalists;
  • guest soloists;
  • playback, recording, or broadcast positions.

Use stable position labels such as Sax 1, Tbn 3, Tpt 4, Piano, and Vocal 1. Put player names and instrument doubles in separate notes. A chair may change player without changing its place in the score, plot, and patch.

Replace the example with the actual roster. List instrument stands, mute stands, page lights, percussion tables, and chairs when they affect footprint or changeover time.

Arrange sections and sightlines

A common starting arrangement places saxophones toward the front, trombones behind them, trumpets farther upstage, and the rhythm section to one side or across the rear. That is a convention, not a universal rule. The score, conductor sightlines, solo features, acoustic balance, room, risers, and camera plan may require another layout.

Draw from the performer's perspective

Show:

  • every numbered chair and music stand;
  • row spacing and section boundaries;
  • conductor or bandleader position;
  • riser dimensions and heights when used;
  • drum kit, piano, bass rig, guitar rig, and percussion footprint;
  • vocal and solo positions;
  • microphone stands and shared-mic relationships;
  • monitor wedges or IEM destinations;
  • stage boxes and cable paths;
  • power locations;
  • instrument-change areas and storage;
  • stairs, ramps, exits, and safe access lanes.

Do not draw chairs as a tightly packed grid merely to fit the page. Brass instruments, slide travel, instrument changes, low microphone stands, and seated musicians need usable space.

Preserve musical communication

Every player should be able to see the conductor or bandleader and the cues that matter. Review:

  • trumpet and trombone sightlines over the front row;
  • drummer and bassist visibility to the conductor;
  • pianist and guitarist visibility to rhythm-section cues;
  • featured soloist path to the front position;
  • vocalist access without crossing cable runs;
  • microphone placement that does not block music or bell movement.

Plan microphones and inputs

The channel count depends on the performance goal, room, ensemble, microphone inventory, reinforcement approach, recording needs, and engineer. Do not assume every horn needs an individual microphone or that one section microphone will serve every situation.

The responsible engineer should approve the approach. Generic mic counts cannot replace an acoustic and production decision.

Horn and woodwind details

For each microphone, state its position ID, source, stand type, provider, and phantom-power requirement where applicable. Woodwind doubles may change where the sound originates and how the player moves. Record each double and the approved pickup plan instead of assuming one placement works identically for saxophone, flute, and clarinet.

Trombone positions need room for slide travel. Trumpet players may use mutes, so include mute stands and confirm that microphone placement remains practical. If clip-on microphones are artist-carried, list their connector, power or adapter path, wireless system if any, and receiver output.

This is a structure, not a complete big-band patch. Continue with one row per confirmed audio source, including rhythm section, vocals, talkback, ambience, playback, and recording-only inputs.

Add rhythm section, monitors, and power

Rhythm section

Document the rhythm section with the same precision as the horns:

  • piano type, tuning responsibility if acoustic, pickup or microphone plan, bench, and footprint;
  • keyboard outputs, DIs, stand, pedals, and power if electronic;
  • guitar amplifier or modeler, microphone or DI, pedalboard, and power;
  • upright bass pickup, microphone, amplifier, DI, and instrument-safe stand;
  • electric bass DI and amplifier path;
  • drum kit sizes, hardware, microphones, rug, shield only if genuinely required, and riser;
  • percussion instruments, stands, tables, microphones, and change space.

Monitors

Do not place one wedge per chair by default. Decide which musicians need reinforcement and what they need to hear. Possible destinations include:

  • conductor or bandleader;
  • rhythm section;
  • vocalists;
  • featured solo position;
  • saxophone, trombone, or trumpet section zones;
  • individual IEM users.

Give each destination a stable mix ID and state mono or stereo format, wedge or IEM delivery, provider, output patch, and operator. Aim wedges so they support the intended listeners without obstructing chairs, slides, feet, or conductor sightlines.

High acoustic level from brass and drums can make extra monitor level counterproductive. The monitor engineer should build only the mixes the performers need and verify them in the actual arrangement.

Power and stage infrastructure

Show power for keyboards, amplifiers, pedalboards, clip-on systems, page lights, playback, and any artist-carried racks. List equipment requirements accurately; qualified venue personnel determine final electrical distribution.

Advance the stage setup

Send the current plot and input list with these questions:

  1. What is the confirmed ensemble roster and chair order?
  2. Which instruments double, and where are instrument changes stored?
  3. What stage dimensions and risers are available?
  4. Who supplies chairs, music stands, stand lights, and power?
  5. Which sources are individual, shared, section-miked, or not reinforced?
  6. Who supplies every microphone, clip, stand, DI, and cable?
  7. How many inputs, stage-box sockets, and console channels are required?
  8. Which monitor destinations are confirmed?
  9. Are piano tuning, backline, recording, or broadcast part of the scope?
  10. How much setup, line-check, and soundcheck time is scheduled?

If the venue proposes a smaller stage or different seating plan, redraw it and recheck sightlines, slide clearance, microphones, cable reach, monitors, and safe access. Do not leave the accepted change in an email while sending an obsolete plot.

Invite the bandleader, tour manager, production manager, or engineer to edit and save the same Rider and inspect its history. Export a dated PDF for the stage crew and keep the current link available to the production team.

Common big-band plot mistakes

Drawing anonymous rows. Number positions and connect them to the roster and channels.

Assuming a standard microphone count. Confirm the reinforcement and recording approach for the actual room and show.

Forgetting doubles and mutes. Instrument changes need space, stands, and an audio plan.

Crowding trombone slides. Allow playing clearance, not only chair width.

Treating the rhythm section as one box. Draw and patch every instrument, amplifier, DI, microphone, stand, and power need.

Adding monitors without destinations. Every wedge or IEM must have a mix ID, listener, output, and provider.

Separating seating and patch documents. Stable position IDs should connect the roster, plot, input list, and console labels.
